At Uptown Med Spa Welland (“Uptown Med Spa,” “we,” “us” or “our”), your privacy matters to us. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. It applies to information collected at our clinic at 430 Colbeck Drive, Welland, ON L3B 5N6, through our website, and through our online booking system.

We handle personal information in line with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where it applies to personal health information, Ontario’s Personal Health Information Protection Act (PHIPA).

Information We Collect

We only collect the information we need to provide our services and run our business. This may include:

  • Contact details: your name, phone number, email address and mailing address.
  • Health and treatment information: medical history, medications, allergies, skin concerns, consent forms, treatment notes and, with your written consent, before-and-after photos.
  • Booking and payment details: appointment history, membership details and payment information. Card payments are processed by secure third-party providers, and we do not store full card numbers.
  • Website information: details you submit through our contact forms, along with technical data such as your browser type, device and pages visited, collected through cookies and analytics tools.

How We Use Your Information

  • To book, confirm, remind you about and manage your appointments
  • To assess whether a treatment is safe and suitable for you, and to deliver it properly
  • To keep accurate treatment records and provide aftercare
  • To process payments, memberships, product orders and returns
  • To respond to your questions, requests and feedback
  • To send promotions and news, but only if you’ve agreed to receive them
  • To improve our services, website and client experience
  • To meet our legal, regulatory and insurance obligations

Consent

We ask for your consent before collecting, using or sharing your personal information, except where the law allows or requires otherwise. You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us. Please note that withdrawing consent for certain information, such as your medical history, may mean we’re unable to provide some treatments safely.

Sharing Your Information

We never sell or rent your personal information. We only share it when necessary, including with:

  • Trusted service providers who help us run our business, such as our online booking platform (Jane App), payment processors, email providers and website hosting services. These providers must protect your information and may only use it to provide services to us.
  • Medical professionals involved in your care, where required for your treatment.
  • Regulators, insurers, law enforcement or other parties where we are legally required or permitted to do so.

Photos and Testimonials

We will never use your photos, name or testimonial on our website, social media or marketing materials without your written permission. You can withdraw that permission at any time, and we’ll stop using the material going forward.

Email and Text Communications

With your consent, we may send you news, special offers and updates. Every marketing message includes a simple way to unsubscribe, in line with Canada’s Anti-Spam Legislation (CASL). Appointment confirmations and reminders are service messages and are not affected when you unsubscribe from marketing.

Cookies and Website Analytics

Our website uses cookies and similar technologies to keep the site working properly, understand how visitors use it and improve our advertising. You can adjust your browser settings to refuse cookies, though some parts of the site may not work as intended. Our site may also include links to third-party websites, such as social media and booking platforms, which have their own privacy policies.

How We Protect Your Information

We use reasonable physical, administrative and technical safeguards to protect your information from loss, theft and unauthorized access. These include secure storage of client records, password-protected systems and limiting access to staff who need the information to do their jobs.

How Long We Keep Your Information

We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law or professional standards require. When it’s no longer needed, we destroy or anonymize it securely.

Your Rights

You have the right to request access to the personal information we hold about you, ask us to correct anything that’s inaccurate, and withdraw consent to certain uses. To make a request, please contact us using the details below. We’ll respond within the timeframe required by law and may need to verify your identity first.
